Books with Accompanying Discs

A book with any type of accompanying disc (CD, CD-ROM, optical sound disc, DVD, or DVD-ROM) inserted in an envelope, sleeve, pocket, etc., in it (typically in the back) that has no other accompanying material is cataloged as a book with an accompanying disc. All the discs that accompany books are shelved at the Circulation Desk in their Disk Cabinet; except those that go to the Art Book Room or that are held (with their books) in the Library Media Area (see LMC’s own complex workflow for those).

300 field

These types of books should have the accompanying item listed in the 300 field.

  • Example: 300 _ _ x, 198 p. : |b ill. ; |c 28 cm. + |e 1 DVD (sd., col. ; 4 3/4 in.).

More Examples of 300 fields:

  • 300 _ _ vii, 390 p. : |b ill. ; |c 23 cm. + |e 1 DVD-ROM (4 3/4 in.)

  • 300 _ _ xx, 528 p. : |b ill. ; |c 21 cm. + |e 2 CD-ROMS (4 3/4 in.)

  • 300 _ _ 235 p. : |b ill. ; |c 28 cm. + |e 2 sound discs (4 3/4 in.)

  • 300 _ _ iii, 120 p. : |b ill. (some col.), ports. ; |c 25 cm. + |e 1 DVD (4 3/4 in.)

 

In addition, the bib records for these items should have a 007 field. The 007 should look similar to this…

CDROM field 007 w/first two spaces filled; CDs and DVDs are ususually much longer

007 Field

If there is a 007 already, then check to make sure the subfields are correct, especially the subfields a and b. If there is not one listed, then add one. See OCLC Bib formats above to find the values. For computer discs, you can fill out just the subfields a and b, if the other values are not easily found.

  • To check 007 in Sierra: Expand field; double-click each to check the code values

  • To check 007 in OCLC: Tools; Macros; Manage; OCLC+; Add&Edit007; use drop-downs to see code values

Adding a 007 Field if one is not present

In Sierra:

1. Select the edit record

2. Select Edit from the main menu – then select Insert Field from the drop down menu

3. A new window will open – select y Misc. from the drop down menu and change 999 to 007

4. Instead of entering data into the field, Right click and select Expand Field from the dropdown menu

5. Enter the appropriate values for Mat Catg and Spec Mat (usually c and o)

6. Save changes

In OCLC Connexion:

  1. Tools; Macros; Manage; OCLC +, then Add&Edit007; Run

  2. Choose a Category from dropdown menu, click OK

  3. Fill in the rest of the values; then click OK

  4. done!

  • Can also use the Macro to Edit or simply check preexisting 007 fields

Check 020 field

If there is a separate ISBN for the disc; make sure that the ISBN number on the CD and the title on the CD (if applicable) match those listed for the book.

  • If they don’t, add another 020 field for the ISBN number on the disc, indicating in parentheses that it is for the disc and add a 500 note stating the title on the disc.

Other Fields

The bib record MAY or may not include the following fields pertaining to the disc(s)*

  • A 500 field that describes the contents of the disc.

  • A 505 field for the table of contents of the accompanying disc (has a first indicator of 8 and a second indicator left blank), unless you feel that it is vital information for the patron to know.

  • A 538 field that describes the system requirements for the disc.

  • And many more are being added each day. Look thru them to see if they describe the right format.

*If these fields are included leave them in the record (unless they are mistakes)…if they are not included you are NOT required to add them.

Processing Books with Accompanying Discs – Circulating locations (including Reference)

Books with accompanying discs should have one attached item when cataloged. In Sierra, add the additional item for the disc. Follow procedures for creating a new item in Sierra with the following codes:

Item Records

  1. Item type: 62 CD-ROM ← used for all 4 3/4 inch discs regardless of media type

  2. Location: acirc

  3. Call number: 090 _ _ [The same call number as the book followed by the disc type, which is found in the 300 field]

    1. Example: F 1221 .Z3 H86 2008 CD-ROM

    2. Possible terms include:

CD DVD Floppy disk

CD-R DVD-ROM Sound disc

CD-RW DVD-RAM Videodisc

CD-ROM Computer optical disc ← (obsolete term) we can update it, but it’s not required

Photo CDs Blu-Ray

  1. Barcode = scan a barcode and place it on the front of the plastic case that will hold the disc, on the upper right-hand corner. (see diagram on the last page)

  2. Volume Information (we don’t use)

Label using the template: MCcircdesk

  • Then attach the label on the front of the plastic case, on the top left-hand side so it will be easier to read from the top of the disc case

  • Attach a yellow label to the front cover of the book, towards the bottom, which should read:

  • THE COMPUTER DISK(S) THAT ACCOMPANY THIS BOOK CAN BE FOUND AT THE CIRCULATION DESK

    • then cover the yellow label with a clear label protector to protect the label & help it adhere properly.

  • Attach a yellow label to the front of the plastic case, in the center at the bottom, which should read:

  • SEE ACCOMPANYING BOOK FOR SYSTEM REQUIREMENTS

    • maybe not needed for sound CD or DVD? ← ask Kurt

  1. Check the items in the Public view display for errors

  2. All the discs that accompany books are shelved at the Circulation Desk except those that go to the Art Book Room or that are held in the Library Media Area (both of which have their own workflow).

  3. Take book and disk down to Circulation Cataloged shelf, but put the disk into the provided box for better protection.
