Bound-with Cataloging Procedures

Recommended practice:

  1. Find or create a record for the physical volume(s), such as a serial record for monographic series titles bound together. Attach a barcode to each physical volume. Then make individual item record(s) for each physical volume.

A. Monographic Series Titles:

Look for usable serial records in Sierra and OCLC. There may already be a good serial bib record to use. Otherwise, create an original bib record for the series, in OCLC or locally in Sierra.

B. Unrelated Monographs, or mixes of serials and monographs, bound together:

These may require original cataloging as a small collection, either on OCLC or as a local record in Sierra. See: Creating volume-size collection-level records, below:

C. SCA archivally/historically significant bound-with volumes:

2. Find or create individual bib records for each monographic title, or each selected title for massive volumes, in each bound-with volume.

A. Attach one item record with fake barcode to each separate title bib record.

B. Fake barcodes should have the bib number plus “bound” or “BOUND.” Add c for copies or similar extras as needed, but no punctuation.

C. Add a 590 note stating where each title can be found:

D. Make sure each item can be identified within the call number of the physical volume.

 

 

Specialized instructions

 

  1. Creating volume-sized collection-level records:

 Regular stacks bound-with collections will generally be artificial groupings, so we won’t be using archival DACS/RDA, provenance, historical, and linking fields. These bound-with volume bibs can either be created as local bib record in Sierra or as bib records in OCLC Connexion. In OCLC, these will be one-or-a-kind records and are not likely to be used by anyone else.

For most bound-with volumes, we can list each title in the 505 field along with author, publisher, and date for each. If there are too many titles in the volume, we can leave off the publishers. If there are way too many to titles to list, we can stop listing titles at a practical stopping point and add: –- [and others].

 

Selected fixed fields:

Type: a Printed language material

OCLC bib formats and standards state their preference for “made up” collections in which one for of material dominates is to use the appropriate code for that format.

ELvl: K Minimal level input

BLvl: c Collection-level

DtSt: i Inclusive dates i.e., Dates: 1901, 1919

Desc: i ISBD punctuation

 

These collection-level records are currently not up to RDA code, so don’t use |e rda in the 040 field:

Despite the name, this book provides an extensive coverage of all kinds of cataloging treatment, including the most exhaustive: detailed separate cataloging of each bound-with item (with complete contents notes of the other bound with titles with each record) to directions for bound-with collection-level cataloging in the penultimate chapter.
