Theatre Arts Script Library Cataloging


Collection Information:
Now located in the Fine Arts Collection area, in the Lower Level, the Theatre Arts Script Library is a browsable collection of playscripts or musical scripts & scores used primarily by Theatre Arts students and faculty.  There are often multiple copies of each script as they may be used both for class study and/or putting on a play.

HISTORY: The original donation of Theatre Arts Scripts was a large gift under a time crunch for cataloging and processing, and was accordingly cataloged on 3 collection-level records with Item Records for each script title, each given simple Author cutters for call number placeholders. Each title has since been re-cataloged on separate MARC records, with the collection level records suppressed to the public, and finally, in 2020, all scripts were reclassified & reordered in the LC Classification system.


Level 1  - Copy Cataloging

A-Review and Select a Record

I. Go to the CMS Tracking base in Airtable and find the script title.

  • You can use the view labeled: Melanie-Scripts-All for regular scripts which is limited to Finished/Cataloged is empty and Final Destination is Script Area

  • Scores for musicals may require searching in a different view

    • Add todays date and time to the Start Cataloging field

    • Choose your name in the Cataloger field drop down list.

  • If you can’t find the script; search again in All Items: https://airtable.com/app6cqg583uYE4DsH/tbliihFOS4X7dQaQP/viwvMshKabTE3zAus?blocks=hide

  • But if there is no record for the script in CMS tracking, add a new record for it.

    • Title: [from script]

    • Scan in its barcode

    • Material Type: Book

    • Workflow: New Acquisition (usually: includes a few gifts)

    • Priority: almost always Medium (unless it’s a rush which are: High)

    • Current Location: Melanie Cubicle or …

    • Final Destination: Script Area

    • Checked into Cataloging: [the date]

II. Sierra Searching:

Search in Sierra first, if case we already own that edition

  1. Search Sierra to locate any existing fully cataloged records or brief records.

    • If there are too many results, you can use one or more Limiters, located in the left side-bar menu.

      • Limit to Format: Book or Music score

      • Add the limit of Location: Merrill-Cazier

      • If there’s a subtitle, check the Phrase(s) at the bottom.

    •  

  2. If a Fully Cataloged existing record is in Sierra, but is NOT within the Merrill-Cazier Library Building (for instance, the USU Eastern Branch or another Branch Library):

    • Do not edit, overlay, or attach an item record; instead either look for a brief bib with an order or go on to the next step (3.)

    • if there are no records for the script in Sierra, go to OCLC Copy Cataloging

  3. If the only existing Sierra record is a brief bib record attached to an Order record for theatre arts (Selector: THEA),

    • Copy the b-number (to overlay the new bib record)

    • Then proceed to OCLC Copy Cataloging

    • HOWEVER: If you come across any USU Reserve Brief Bib records, do not mess with them.

  4. Gifts: If no record, Brief or Full, exists in Sierra

    1. go to directly to OCLC Copy Cataloging

  5. FINALLY, If there is an existing fully-cataloged record in Sierra and it is held within the Merrill-Cazier Library building

    1. This includes: Script Library, Special Collections, Library Media Area, Reference, Art Collection, circulating stacks…

    2. Double-check for a brief record with an order, which needs to be merged (Sierra Transfer) into the full record

      • This is extremely common in scripts - always check for an brief order record when a fully cataloged bib exists in Sierra:

    3. Before merging the records, make doubly sure the full cataloged record is for the same edition as the item in hand, using: Matching MARC Bibliographic Fields in Sierra

Sierra Transfer (Merge)

  1. Bring up the Brief bib - this is the dying record

  2. Choose Edit; Transfer attached.

  3. In the next screen, search for and bring up the fully cataloged Bib - this is the surviving record

  4. in the full record’s Summary view, click on Use bib

  5. Select Delete Source Bib and all attached in the pop-up.

  6. Then, search for and bring up the (now single) bib to continue Sierra copy cataloging.

Order of Preference if OCLC has multiple records of an edition (which is very common):

  1. Prefer DLC (Library of Congress) bibliographic records, as long as it is the same edition.

    • In OCLC truncated Lists DLC will be marked with: D

  2. If no DLC records exist for the same edition, look for one with the most Holdings (the number of libraries who chose the record).

  3. If still in doubt, prefer a Fuller record:

    • Check for complete 245, 260 or 264, and 300 fields, a 090 or 050 call number, 650 subjects, etc.

  4. Always check for Held in OCLC search results; as this usually means we already have that edition in Sierra

    • which often means it’s time to backtrack to Sierra to copy catalog it there (but may mean a branch library holds it).
