Theatre Arts Script Library
Theatre Arts Script Library Cataloging
Collection Information:
Now located in the Fine Arts Collection area, in the Lower Level, the Theatre Arts Script Library is a browsable collection of playscripts or musical scripts & scores used primarily by Theatre Arts students and faculty. There are often multiple copies of each script as they may be used both for class study and/or putting on a play.
HISTORY: The original donation of Theatre Arts Scripts was a large gift under a time crunch for cataloging and processing, and was accordingly cataloged on 3 collection-level records with Item Records for each script title, each given simple Author cutters for call number placeholders. Each title has since been re-cataloged on separate MARC records, with the collection level records suppressed to the public, and finally, in 2020, all scripts were reclassified & reordered in the LC Classification system.

Level 1 - Copy Cataloging
A-Review and Select a Record
I. Go to the CMS Tracking base in Airtable and find the script title.
https://airtable.com/app6cqg583uYE4DsH?
You can use the view labeled: Melanie-Scripts-All for regular scripts which is limited to Finished/Cataloged is empty and Final Destination is Script Area
Scores for musicals may require searching in a different view
Add todays date and time to the Start Cataloging field
Choose your name in the Cataloger field drop down list.
If you can’t find the script; search again in All Items: https://airtable.com/app6cqg583uYE4DsH/tbliihFOS4X7dQaQP/viwvMshKabTE3zAus?blocks=hide
But if there is no record for the script in CMS tracking, add a new record for it.
Title: [from script]
Scan in its barcode
Material Type: Book
Workflow: New Acquisition (usually: includes a few gifts)
Priority: almost always Medium (unless it’s a rush which are: High)
Current Location: Melanie Cubicle or …
Final Destination: Script Area
Checked into Cataloging: [the date]
II. Sierra Searching:
Search in Sierra first, if case we already own that edition
Search Sierra to locate any existing fully cataloged records or brief records.
If there are too many results, you can use one or more Limiters, located in the left side-bar menu.
Limit to Format: Book or Music score
Add the limit of Location: Merrill-Cazier
If there’s a subtitle, check the Phrase(s) at the bottom.
If a Fully Cataloged existing record is in Sierra, but is NOT within the Merrill-Cazier Library Building (for instance, the USU Eastern Branch or another Branch Library):
Do not edit, overlay, or attach an item record; instead either look for a brief bib with an order or go on to the next step (3.)
if there are no records for the script in Sierra, go to OCLC Copy Cataloging
If the only existing Sierra record is a brief bib record attached to an Order record for theatre arts (Selector: THEA),
Copy the b-number (to overlay the new bib record)
Then proceed to OCLC Copy Cataloging
HOWEVER: If you come across any USU Reserve Brief Bib records, do not mess with them.
Gifts: If no record, Brief or Full, exists in Sierra
go to directly to OCLC Copy Cataloging
FINALLY, If there is an existing fully-cataloged record in Sierra and it is held within the Merrill-Cazier Library building
This includes: Script Library, Special Collections, Library Media Area, Reference, Art Collection, circulating stacks…
Double-check for a brief record with an order, which needs to be merged (Sierra Transfer) into the full record
This is extremely common in scripts - always check for an brief order record when a fully cataloged bib exists in Sierra:
Before merging the records, make doubly sure the full cataloged record is for the same edition as the item in hand, using: Matching MARC Bibliographic Fields in Sierra
Sierra Transfer (Merge)
Bring up the Brief bib - this is the dying record
Choose Edit; Transfer attached.
In the next screen, search for and bring up the fully cataloged Bib - this is the surviving record
in the full record’s Summary view, click on Use bib
Select Delete Source Bib and all attached in the pop-up.
Then, search for and bring up the (now single) bib to continue Sierra copy cataloging.
Sierra Matching item to the correct edition record
Click on View or Edit bib icons
Make sure the record matches the item in hand:

Create a new Sierra Item Record
Go to Summary view, and either,
Open an existing Item Record; and go to Edit; then Copy Record,
OR, from Summary view, click on Attach New Item,
If using the 2nd method, it’s a good idea to copy the Item’s Call Number to paste in.
Then, fill in the codes:
Field | Field No. | Indicator | Code/Data | Notes |
---|---|---|---|---|
Copy No. | n/a | n/a | 1 (or higher) | If more than one copy of this item exists in the Merrill-Cazier Library, use the next copy number available for the item in hand. |
Item Code 1 | n/a | n/a | usually 17 (firm) or 18 (gift) | This indicates the type of acquisition process through which this material was ordered. For Scripts, this will usually be a Firm order or a Gift. To see all codes available: Item Code 1. |
Item type | n/a | n/a | 5 (5 day book loan) | This indicates the item format and loan rule for Script Library. |
Location | n/a | n/a | asqro | Merrill-Cazier Fine Arts Area (Lower Level), current location of Script Library (it migrates) |

III. OCLC Copy Cataloging
Search OCLC for the appropriate record
Key searches could include:
ISBN - International Standard Book Number: (scan and search this first, if available):
Command Line Search (click in the Command Line Search box, scan it in):
Or Keyword/Numeric Search:
Keyword searches: - Avoid using these proximity or Boolean terms: with, near, and, not, or, etc. (if they are needed, put double-quotes around them like so “with”)
Title of script (search exact title if possible)
ti:blue lagoon
The author (playwright), editor, or adaptor
au:julia cho
Other useful search prefixes for scripts, especially when combined:
ti: title words
au: authors names
pb: publisher name
(search distinctive parts of the publisher’s name, DON’T search words like “inc”, “corporation”, or “publishing”)
Item in hand - Random House Publishing, Inc.
Search - pb: random house
yr: year of publication or multiple years
on title page verso: copyright 1980, on title page: 1983.
yr: 1980-1983
mt: format
mt: bks = books (most scripts, including musical librettos)
mt: sco = musical scores (music with staffs & notes)
See also OCLC Connexion guick guide for searching: https://help.oclc.org/@api/deki/files/5181/connexion-client-search-worldcat-quick-reference.pdf?revision=3
Almost everything you might want to know about searching OCLC Connexion (complete list of codes, search prefixes, etc.)
Combined keyword are useful for cutting down large results.
Using multiple key words in Command Line Search:
ti:aubergine au:cho julia
ti:aubergine au:cho julia pb:dramatists yr:1996
ti:charlottes web au:white mt:sco
Using multiples In Keyword/Numeric Search:
Match the item in hand to a correct edition record
Select the right Format: Book (physical volume) or Music Score (physical volume or sheet)
Fixed Fields:
OCLC Format dropdown box (easy to check first, and/or look at Type):
Books - regular scripts
Type: a (books)
Scores - musical notes and staffs
Type: c (scores)
Form: (should be blank) - if there is a code, it is usually NOT the correct format.
Exception: photocopies of non-published manuscript plays can have: r
Then check that these fields match the item in hand

Order of Preference if OCLC has multiple records of an edition (which is very common):
Prefer DLC (Library of Congress) bibliographic records, as long as it is the same edition.
In OCLC truncated Lists DLC will be marked with: D
If no DLC records exist for the same edition, look for one with the most Holdings (the number of libraries who chose the record).
If still in doubt, prefer a Fuller record:
Check for complete 245, 260 or 264, and 300 fields, a 090 or 050 call number, 650 subjects, etc.
Always check for Held in OCLC search results; as this usually means we already have that edition in Sierra
which often means it’s time to backtrack to Sierra to copy catalog it there (but may mean a branch library holds it).
Once the correct edition record is selected, check the rest of the MARC fields, making edits if needed

050 or 090 Call number – copy the call number
Then search it in our online catalog, removing the subfield delimiters/codes.
If the LC call number is identical to another title’s call number, adjust it to fit alphabetically among other author/playwright cutters
Put any adjusted call numbers in 090 field
For Children's plays: use the PN6119.9 call number stem (collections of children's or amateur's plays) and put the resulting PN6119.9 number into an 090 field.
(Do not change LCC if the item is a score for a children's musical.) Search the resulting call number in online catalog and adjust if needed
Children’s Plays follow the general form of PN6119.9.A2 |b T3 2021 |

Barcoding:
For scripts with a cover, place on the first page, on the right leaf, when possible. Never cover up any important or identifying information. Always try to find a blank area for the barcode. If necessary, change it to a vertical orientation. On smaller documents, or documents that do not have a cover or where the actual content starts on the top page of the item, this may be the best place for the barcode. If there is already a barcode on the cover, use that.Label:
