The Anne Carroll Moore library is a circulating collection located in the Edith Bowen School. It exists primarily to serve the students and faculty of the School, but most materials may also be checked out by University students and staff.



Moore Library Materials

The Moore Library collection includes books, kits, various non-book materials, and a few serials. The serials are not cataloged, but are sent directly to the Moore Library. Most other materials are ordered through the Follett shelf ready program, and are also sent directly to the Moore Library. The remaining materials are brought to CMS by the CMRS staff (non-shelf ready materials ordered through them) or are brought over from the Moore Library (gifts and other materials acquired directly by them, and shelf-ready problems)

The Moore library is made up of a number of separate collections that differ by genre or format. Each collection has its own call number scheme and location code:

1. Picture books

Fiction books, written for younger children, in which the illustrations take predominance over the text. Includes board books and movable ("pop-up") books.

2. Fiction

Fiction books that do not fall into the picture book, easy reader, literature, or folklore categories. "Chapter books."

3. Easy readers

Easy-to-read fiction books, usually with large type and many illustrations. Often in series such as "An I can read book" or "Hello reader". Non-fiction easy readers are classed in Dewey with other nonfiction.

4. Nonfiction-general

All nonfiction books are classified using the 19th edition of the Dewey Decimal Classification schedules, if possible, with some adjustment to maintain consistency.
When editing a record, it's important to check the Dewey numbers to make sure they are consistent with the existing collection; revisions of the schedules have sometimes caused radical changes in the numbers for particular subjects.

Class in broad numbers, keeping within three digits past the decimal, if possible. Cutter by author or editor, except for special types of nonfiction, as noted below.

5. Biography

Individual biographies and autobiographies are classed in 920, and cuttered by the name of the subject of the biography. Add a dash and the first one or two letters of the author's name.

Collective biographies (of 2 or more people) are classed in 921, and cuttered by the name of the author + 1st few letters of title

6. Literature (not including fiction)

Literary works are classed in Dewey, and cuttered by the name of the author + 1st few letters of title

Some commonly-used Dewey literature numbers are:

808.83=Short story collections (whether by one or several authors)

(Cutter by individual poet or compiler)

811.5 = Individual American poets
811.08 = Collections of several American poets
821 = Individual English or other non-American poets:
821.08 = Collections of several English or other non-American poets

822 = Individual plays, regardless of author's nationality
822.08 = Collections of plays, by one or more authors
(Cutter by individual author or compiler)

822.33 = Shakespeare

7. Folklore

398.2 = Fairy and folk tales
398.25 = Ghost stories
398.8 = Nursery rhymes

Cutter by author or editor.

8. Games, etc.

793.73 = Puzzles, puzzle games and riddles
793.74 = Math games
793.8 = Magic and tricks
808.87 Jokes and humor

Cutter by author or editor.

9. Native Americans

All books classed in one of three general numbers:
970.1 = General works
970.3 = Specific tribes
970.4 = Specific areas (more than one tribe)
Cutter by author or editor.

10. Holiday books

Books, fiction or nonfiction, dealing with a particular major holiday (i.e., Christmas, Thanksgiving, Easter), as designated by Moore Library staff.
Cutter each book by author or editor. This is the only call number holiday books receive. Do not use "P" for picture books, "ER" for easy readers, or Dewey numbers for nonfiction or literature.

Kits are given one barcode for the entire kit, unless Moore staff requests otherwise.

DVD barcodes are placed on the disc itself, not the case. Only the case is labeled.

12. Newbery and Caldecott books

Newbery and Caldecott awards are given annually for the best juvenile literature (Newbery) and the best picture book (Caldecott). They are cataloged as fiction/picture books/nonfiction, as appropriate, but are kept on special shelves.

Level 1  - Copy Cataloging

Review and Select a Record

  1. Search Sierra by title to locate any existing records or brief records.

    1. If existing record is full and correct, add a new item (see Codes for Item Records below)

    2. If existing record is a brief bib record, record the bib number. This will be used to overlay the new bib record. Proceed to step 2.

    3. If no record is found, repeat title search with various abbreviations to ensure thorough search, then proceed to step 2.

  2. Search OCLC for the appropriate record.  Key searches would include:

    1. Title of document (exact title if possible)

    2. Author of document

    3. ISBN or LCCN

    4. Publisher (in combination with other search terms)

3. Check that the following fields match the item in hand:

a. Title and author (245/246)

b. Author / Corporate body (100/700,110/710)

c. Year of publication (260/264)

d. Formats (338 or 538 if present)

e. Page numbers (300)

f. Print/publisher information (260/264)

4. Check that the following fields are present:

a. Subject heading (at least one).

All books, whether fiction or nonfiction, should have subject headings

Make sure all subject headings are LC headings, with a second indicator of “0”. Subject headings with a second indicator of “1” are LC Children’s Subject Headings and should be deleted (and replaced with LC headings, if none are

present)

Subject headings should have a form subdivision appropriate to the material:

Dogs $v Juvenile literature (for nonfiction)

Friendship $v Juvenile fiction

Christmas $v Juvenile poetry

b. Summary (520)

Edit the Bibliographic Record 

  1. Insert or change the 049 field to UUSC

  2. Create an appropriate call number in the 099 field (see below)

  3. If overlaying an existing Sierra bib record, add a 907 field.  Input a PERIOD followed by the bib record number, for example: .b38045916

  4. Add a 949 field to create an item record in Sierra OR create the item record in Sierra after importing

  5. Add a 520 field, if none is present. Add a 590 or 586 field, if appropriate (see below)

  6. Check to make sure subject headings are in 650 fields, with 2nd indicator 0. Second indicator 1 denotes a heading from the LC Children's Subject Headings, which we don’t use.

  7. Spell check

    1. Tools → Check Spelling OR F7

  8. Control headings

    1. Edit → Control Headings → All OR Shift +F11

  9. Validate

    1. Edit → Validate OR Shift+F5

11. Update Holdings

a. Action → Holdings → Update holding OR Shift+F8

12. Export Record

  1. Action → Export OR F5

A note should be added in the following cases:

a. 590__Easy reader. (Short, illustrated fiction books with large print; published in series such as “I can read book” and “Hello reader!”)

b. 590__Holiday book. (Book of any genre dealing with a major holiday, designated as a holiday book by the Moore Library staff)

c. 586__Caldecott Medal, 1979. (For annual winners of either of these awards. Newbery or Caldecott honor books don't receive a note)

Physical Processing

Security Strips:

Moore materials don’t need security strips

Barcoding:

For documents with a cover, place on the first page, on the right leaf, when possible. Never cover up any important or identifying information; in the case of picture books, try to avoid covering up illustrations, if possible.  Always try to find a blank area for the barcode.  If necessary, change it to a vertical orientation. In some cases (such as board books), it might be necessary to place the barcode on the front or back cover.

Create the Bibliographic Record 

Create a new record on OCLC, choosing the appropriate template for the material type.

  1. Insert or change the 049 field to UUSC

  2. Create an appropriate call number in the 099 field (see below)

  3. If overlaying an existing Sierra bib record, add a 907 field.  Input a PERIOD followed by the bib record number, for example: .b38045916

  4. Add a 949 field to create an item record in Sierra OR create/edit the item record in Sierra after importing

  5. Add a 520 field, if possible

  6. Add any 590 notes that are needed

  7. Add the following fields:
