909 MARC field - Statistics

This tutorial will go over the addition of the 909 field, which is used to document who cataloged a record, the date it was cataloged, the action taken, and any other notes deemed useful by the cataloger. This field is REPEATABLE, please add for each person who works on a record.

There are two types of 909 fields:

  • Individual record cataloging - used for records on which a person works on one record at a time

  • Batch record cataloging - used for records which are done in groups

 

Both the individual 909 and batch 909 are available in Connexion constant data by the following titles:

  • 909

  • 909 Batch

 

Please note that the 909 field is REPEATABLE. Each person who works on the bibliographic record should include a 909 to indicate their work.

Individual Record 909s

When cataloging a single record, copy the following or apply the “909” constant data file by clicking on Edit → Constant Data → Online:

Retain either “Copy”, “Original”, or “Edit” and delete the other terms. In these cases, “Copy” refers to anytime a records is obtained from OCLC Connexion and imported into Sierra, regardless of the amount of work needed to correct or update the records. (This information can be recorded in the |e or |z if needed, though.) “Original” refers to anytime the record was created or derived in OCLC by the cataloger. “Edit” refers to anytime someone is working with a bib record already in Sierra and makes changes to the bib record.

Pulling statistics from Sierra. Along with the |a, |b, and information from the item record (such as location), it can be used to recreate monthly statistics when needed

Use the home unit of the person cataloging, followed by “STATS” in all caps. Terms include:

This subfield is used as a marker to pull all stats together.

Four different typical actions that need to be tracked can be recorded here using this controlled vocabulary. Select the applicable (if any) terms by leaving it (them) and deleting the others. If none apply, then delete the entire subfield. In most cases, this entire subfield will be deleted before importing to Sierra.

  • Fix shelf ready = when a new record has to be brought in to fix or overlay an existing shelf ready record that is problematics.

  • Upgrade OCLC = anytime a cataloger updates, fixes, or enhances the master record in OCLC Connexion record prior to importing it into Sierra. This does not include any addition of local notes or fields.

  • 505 Added= Any time a 505 field is added to a record and saved to the master copy in OCLC Connexion

  • 520 Added = Any time a 520 field is added to a record and saved to the master copy in OCLC Connexion

This is used to track additional work that is recorded in the unit statistics. The 505 Added and 520 Added, in particular, will be used to track impact from the unit’s research project.

This record is only temporary and will be deleted in the remediation process.

 

This is a free text field where catalogers can record any other piece of information that future catalogers or themselves might need to know about the record. This subfield is not required. If not needed, please delete entire subfield.

Batch Record 909s

When cataloging a batch of records, copy the following or apply the “909 Batch” constant data in the OCLC Connexion Online constant data file:

  • Crosswalked= any record batches where the records were mapped from a different metadata schema prior to being imported in Sierra

  • Created= any record batches which did not exist in OCLC Connexion or in any other metadata schema prior to being created and imported into Sierra.
