Follett Shelf-Ready batches for Edith Bowen Moore Library - periodic (annual)

Complete Workflow for Follett shelf-ready for Moore Library

1. Edith Bowen Librarian orders

2. Acquisition (Tyler) receives notice from Follett and downloads MARC record file

3. Tyler passes MARC record file to Discovery Systems Librarian to load (email attachment)

4. Discovery Systems Librarian loads records and uses Global Update to fix:

• call number item fields for FIC (fiction) and E (easy reader) (092 to 099)

• location for E (easy reader) (mdew to measy)

5. Discovery System Librarian creates review file when loading and lets Tyler know name and availability

6. Tyler uses review file to attach orders and pay

949 fields as provided by Follett:

No need to use MarcEdit, if desired.  All edits can be done in Sierra.

Load table = BATCH LOAD Follett shelf ready (.follett)

1. Remember to select Use Review File as usual; Test, and if all looks good, then Load

2. In Create Lists, Copy, and find Follett load file as usual

• no overlay should occur

• Follett default bib template provides Moore Library location and bib code 3 of “k” (no SkyRiver)

• Follett default item template provides location of “mdew” and item call number line in load table provides call number field of “092”

• Follett load table deletes 510, 940, 856, all 6XX other than LC (2nd indicator 0), and 035

• Follett load table adds 910  Follett shelf ready

Easiest way to fix locations and call number fields for FICTION and EASY READER is to load whole file and then update using create lists and global update or rapid update.

In Create Lists: create separate fiction and easy reader Review files by basing them on the Copied review file of the full loaded (inserted) Follett records

Search Records

For Fiction:

1. Select a clear spot under in the list

2. Search Records

3. fill in Review File Name: Follett Fic (or similar)

4. Change Range to Review and select Follett Load Review file

5. Change Store Record Type to: Item i

6. either Bibliographic  MARC Tag 949|a  starts with  fic

   • or Item Call No. starts with fic

7. and Search

For Easy Readers:

3. Select 2nd clear spot

4. Change Range to Review and find Load file

5. Search Records

6. Either Bibliographic  MARC Tag 949|a  starts with e

   1. or Item Call No. starts with e

7. and Search

For Easy Reader only

change fixed field item

for EASY READER

Function-->Rapid Update

1. Find Review file for E

2. Item Fixed Field: 79 - Location to Value: measy (Moore Easy Readers)

3. Start:

Change variable-length field item

from:

092

to:

099

for both FICTION and EASY READER

(This will have to be done manually or by using Global Update. It can’t be done in Rapid Update)

Function-->Global Update

1. Select records

   1. Record Type: Item

   2. Find Review File Follett Fic

   3. Search

2. Command Input

   1. accept the default: Change variable length field

   2. ALWAYS uncheck “Use Displayed Field” - this is critical

2. leave the everything else blank except for:

   • MARC Tag

     • 092

     • 099

   • OK

3. Preview

   1. If all looks correct in the Preview-->Process

4. Statistics will show changes (total should match review list)

• Do the same steps to change the Easy Readers 092 to 099 as well.

• Finally, Check all changes went through in your item review files
