Downloading information
Weekly record files are downloaded from OCLC Worldshare Collection Manager
|
You may or may not need to select our location |
|
Two files ready for Discovery Services (circled in red); Download buttons to the right |
|
NOTE: If you accidentally click Download for a non-OReilly file, OCLC WS will remove it from the My Files list for everybody in THE USU library, and you will need to email the file to Tyler in Acquisitions.

II-MarcEditing for New files
Unicode: UTF8 |
|
QC: number modified should match number of records | add prefix safari |
I like to Save between edits
| old prepend: http://dist.lib.usu.edu/login?url= Replacement: https://library2.usu.edu/eval_dist/url856.php?url= there’s no other place in the bib that these combinations could be found, so it’s safe to just do a straightforward find/replace |
| =856 40$uhttps://dist.lib.usu.edu/login?url= |
| =856 40$uhttps://library2.usu.edu/eval_dist/url856.php?url= |
QC: same number modified as number of records
QC: do a Find All on =856 to check all went well, if desired |
|
Doing both step 4 & 5 as one step tends to mess up the 856 structure in Edit Subfield Data, so I do them separately | delete supplied |z |
|
Available online; click to view. Select “Institution not listed” and enter your USU email address. |
Do a Find All for 856, if desired

| look for non-Roman letter title displaying as <>. with no useful text and delete from file |
This find works even better:
| |
Deleting individual records |
|
11a. Selecting/deleting MARC Records -->Close MarcEditor:
| |
| Or use Reports → Field Count: |
13a. Run MARCValidator at this point to look for any malformed records or fields
|
|
| I like to put DONE or FINAL at the end of the new mrc file |
Load New into Sierra:
Load table: WorldCat Collection Sets (.collectionsets) |
Use review files
Test, then Load
Create Lists: Copy; LOAD file, then:
Rapid Update Processing
Rapid Update after loading: | (all records are loaded as ebooks but file usually also contains streaming videos and audiobooks) |
We make bib and item Review Files based on the queries below applied to the review file of inserted records created when you loaded the file of new records; (the item review files are created based on the associated bib review file)
Create List: create specific Review Files for video
| |
Create List review files for streaming audio
| |
Edit the bib material type and the item item type as shown in the table below with Rapid Update
Function: Rapid Update
|
Safari video | bib 336 has two-dimensional |
|
30 - bib mat type | starts with: z (Ebook) | type in: u (Streaming video) |
Do matching Rapid Update for the Video Item Records review list
Function: Rapid Update
| ||
61 - item type | starts with: 20 (Ebook) | Type in: 24 (Streaming video) |
In Create Lists Safari videos bib material type and item types, should have changed to u and 24
|
Do the same Rapid Update process to change the bib material type and the Item type for the audiobook review files, to codes shown below
Safari Audio | bib 336 has spoken word | 2 searches bib & item |
30 - bib mat type | starts with: z (Ebook) | type in: s (Audiobook) |
61 - item type | starts with: 20 (Ebook) | type in: 21 (Downloadable audiobook) |
Quality Check: Open a few items in the Create List review files of each type to make sure all changes went through correctly, then go to Public view and Encore and bring up a few titles to make sure they are displaying properly.
Finish tracking loaded/processed files
