Editing Add files

2 of them Express and Full, load before Delete, (but both Adds: Full & Express, can be loaded in any order)

Edits needed before loading Add files:

 

  • Add ac before EBC in 001 to keep distinct from DDA discovery records

=001  acEBC1130287

 

  • Find: =001 (plus 2 spaces)

  • Replace: =001 ac

 

  • delete 856 subfield z and then add our subfield z with:

  • Trying to do this in one step usually breaks the field

Delete Files process

edits needed before loading Deletions:

 

  •  replace EBC 001 with ebrary 001 copied from 035

  =001  ebrxxxx

  •  create another file with ac in front of the EBC 001 to check for more recent matches

  =001  acEBCxxx

  • BE CAREFUL to confirm that all matches are coebr and none are purchased DDA with ebr 001!!!

 

If no orders are attached, go to Delete Records

 

Create two files in MarcEdit by renaming the file as you open them in MarcEditor

Edits for first file with 001 ebr:

Edits for Second file with acEBR

Load both Academic Complete delete files

Load table for deletes:

CAUTION special use for overlay and delete (.overlaytodelete)

Check for attached order records for each file before deletion!  (export order record # when exporting to check 910)

  1. Go to Create lists; Copy; find Load Review file, as usual

  2. Export:

    1. Line 1 Type: order o Field: Record Number 81

  3. Name export files something like:

    • ACdelete1-orders-20231005

    • ACdelete2-orders2-20231005

  4. Open exported file of order numbers in Excel; and if no order numbers show; then go forward with Deleting records

  5. If there is an order, find the title in Create Lists and open to edit bib and item:

    1. [holding place for instructions on editing]

    2. Select edited title, then Remove from file (or whatever the command is for removing from the list)

Function: Delete Records; Review Review file: Load: Overlaid records for [name of file]

  • Start will bring in the records (you can double check some against Excel file, if uneasy about all this)

  • Chose: Delete the listed Bibliographic record AND all attached records

    • (You should have already checked that there are no attached order records w/the export step)

  1. deep breath: then click Delete Records

  • You will be asked: Are you sure sure sure?

  •  

  • And in Create Lists, the load files will disappear.
