In-person and Remote Cataloging Workflows

To comply with the reductions to the number of people in the cataloging space during the COVID-19 pandemic, this workflows shows the distribution in work between the designated “in-person” cataloger and the “remote” catalogers working from home. This is referred to as the “Hybrid Cataloging” model because it integrates in-person and remote work together.

In-Person Cataloger Responsibilities (MORNING)

Note: May be the same as the evening person, dependent on staffing

 

  • Track Material

    • Add items from oldest quarantine cart to tracker. Mandatory fields include:

      • Title

      • Barcode

      • Bib (if available)

      • ISBN (if available)

      • Publication year

      • Remote or In person

      • Material

      • Workflow

      • Final Destination

      • Priority

      • Cataloger

      • Current Location

      • Checked into Cataloging

  • Catalog or assign catalogers

    • For complex items, assign remote catalogers for complex cataloging (See Chart)

      • Place items on the Central COVID shelving

    • For simple items, catalog + label and stamp

    • Catalog + label and stamp any unassigned items (listed on tracker)

      • Please uncheck the “Needs a cataloger” and assign yourself in the Cataloger field

    • [If needed], mark all remaining items to be cataloged as “Needs a Cataloger” and unassign yourself in the Cataloger field, place in the “unassigned” shelving in the Central COVID shelving area.

    • Record Start and Finished/Cataloged times in tracker

    • Leave material on cart for Evening Cataloger (or checkout/take to Circ following steps for Evening Cataloger)

  • Monitor questions from remote catalogers in the Item Tracker (Remote Cataloging Follow Up Questions -> Open Questions view)

    • Notifications:

      • Slack -> library_cms_remotequestions

      • Comments directly in Airtable (use rarely)

    • Answer questions

      • Use the fields in the Item Tracking tab for standard requests (Publisher, Place of Publication, Pages, Illustrations, Height, and Pieces)

      • Use the “Responses” column in the Remote Cataloging Follow up Questions tab for anything more complex

      • Take pictures and attach in Images (if needed) column

 

In-Person Cataloger Responsibilities (EVENING)

Note: May be the same as the morning person, dependent on staffing

 

  • Catalog any remaining items

    • Catalog + label and stamp any unassigned items (listed on tracker and shelved on the “unassigned” shelving in the Central COVID shelving area)

      • Please uncheck the “Needs a cataloger” and assign yourself in the Cataloger field

  • Monitor questions from remote catalogers in the Item Tracker (Remote Cataloging Follow Up Questions -> Open Questions view)

    • Notifications:

      • Slack -> library_cms_remotequestions

      • Comments directly in Airtable

    • Answer questions

      • Use the fields in the Item Tracking tab for standard requests (Publisher, Place of Publication, Pages, Illustrations, Height, and Pieces)

      • Use the “Responses” column in the Remote Cataloging Follow up Questions tab for anything more complex

      • Take pictures and attach in Images (if needed) column

  • Label + Stamp Remotely Cataloged Items

    • All items are listed on the Item Tracking -> Ready for Processing (COVID Protocols) view

      • NOTE: Do not process material for distance libraries (Price/Blanding, Moore, Herbarium) follow direction from main cataloger

  • Check-out all items leaving the unit

    • Date stamp the Out of Cataloging column for all items labeled and processed by Morning and Evening Catalogers (will remove from view)

  • Take material to Circulation

    • Use the date cards on the large table in cataloging to mark the date and time the material is being left

    • Split Rush and regular material

      • Rush material is left on green cart in Circulation

      • Regular material is left on the marked shelving across from the main door near the elevator in the circulation area

    • Bring back all date cards from the box on the regular material shelves

  • Switch out carts

    • Leave the newly emptied cart near the front desk in 236

      • Record the date on the cart

    • Pull the receiving cart from the day and put it in the quarantine area

 

Remote Cataloger Responsibilities

 

  • Check the Item tracker for assignments (or emails, Airtable notifications) regularly

  • Date stamp the “Start Cataloging” column to indicate that you received notification of the assignment

  • Catalog assigned items

    • For problems or questions, place a checkmark in the Question from Remote Cataloging column in the Item Tracking tab

      • This will cause a new record to open in “Remote Cataloging Follow up Questions” tab

      • Use the “Question(s)” column to request further information, pictures, or clarification

    • Check for responses from the in-person cataloger in:

      • “Responses” column

      • Appropriate column on Item Tracking (Height, Publisher, pages, etc.)

        • NOTE: Any changes to the record in “Remote Cataloging Follow Up Questions” will trigger a message in Slack (library_cms_remotequestions).  Monitoring this slack channel can also be a way of knowing when your question has been answered.

      • When your question is answered sufficiently, put a checkmark in the “Question Closed?” field in the “Remote Cataloging Follow Up Questions” tab

  • Date stamp the “Finished/Cataloged” column (this will put it on a list for physical processing)

 

Remote Cataloging - Additional Tasks, Time Permitting

 

  • Catalog any unassigned items listed on tracker

    • These will be marked as “Needs a Cataloger” in the main Item Tracking tab view or open the “Needs a Cataloger” view

    • For all items you want to catalog

      • Please uncheck the “Needs a cataloger”

      • Assign yourself in the Cataloger field

      • Set the Remote or In-person status to “Remote Assigned”

        • Note: After you are finished cataloging, you may also need to send a message to the in-person cataloger to let them know that you cataloged some of these materials.  In-Person Schedules are here. This is because items that need a cataloger are kept on a different shelf in the Central COVID shelving area and they may miss the item when they start labeling.

      • Follow steps above for cataloging remotely.
