Exporting OCLC Records

Final Steps before Exporting

Prepare the record for Export

  1. Spell Check:                              Tools------>Check Spelling   OR   Key   F7

  2. Control Headings:                     Edit------->Control Headings------>All   OR   Key   Shift+F11

  3. Validate:                                    Edit------->Validate   OR   Key   Shift+F5   OR   Click the validate icon

  4. Produce/Update Holdings:      Action----->Holdings------>Produce and Update Holdings  

OR  

Key   Shift+F7    OR   Click the produce holdings icon

 

Exporting Records from OCLC

 Exporting records:

Export:                                    Action------>Export   OR   Key   F5   OR   Click the export icon

 

Exported records are saved to a default location on your computer and then imported into Sierra.  You can set OCLC up to prompt you for a save location for each login session or you can set a more permanent default location of your choice (usually your computer’s desktop is best) 

 

Setting the File Export location in OCLC

Select from the menu bar:     Tools----->Options------>select the Export tab

 

To have OCLC prompt for an export location for each login session: 

  1. Click and highlight File:(Prompt for filename)

  2. Click Apply and then click OK

 

3. Click Yes when asked if you want to be prompted for a filename each time you first perform an export (for each login session)

 

To set up a save location for each export:

Select from the menu bar:     Tools------>Options------>select the Export tab

 

  1. Click Create… and new window will appear – make sure File is selected and click OK

 

2. Select the new destination for your exported files (your computer’s desktop is preferred) – then click “Open

 

  3. Give your file a name

      

  1. Click OK to confirm the destination name
