Semi-quickly print a label from Word to PDF using this Word template:
Template in Word to download to your desktop:
Remember to look up location header here: Label Templates | Merrill Cazier circulating books & media, if it’s not in the MERRILL CAZIER main circulation collection.
Adjust the call number as needed to make sure all segments are on the right lines
Once the label looks good, Save it-->Print-->Save as PDF.
Then print the label by clicking on the PDF printer icon in upper right corner and chose your label printer from the dropdown.
With the full version of Adobe PDF, you can use this PDF label template:
This is a bit trickier, but if you’re used to working in Adobe, it could be faster.
Bring up Adobe on your computer, download the PDF template, and open it from inside Adobe (not in a browser).
Then click Edit a PDF (or Edit depending on what screen Adobe is showing)
Highlight the second box of formatted text (the call number part)
copy and paste the call number from Sierra’s Item record Call number
Fix any misalignments
For instance: remove the space at the beginning of the call #,
If a call# portion is is spilling over the next line, pull out the box edge,
Add a line, if necessary
If the text of the label spills onto the next page (or label), highlight the call# text box,
and chose or type in a smaller size, such as 72:
Once all looks good, click on the disc icon to the upper left corner to save it
Close the Edit panel,
Click on the Printer icon, and make sure it has Fit (or Fit to page) selected,
Then chose your label printer on the dropdown, and print.
It works! (Hopefully)
Or, go through the whole process: Word to PDF to build your own label from scratch:
If the above templates are not working for you.
Format/layout in MS Word:
Layout->Margins-->Narrow, then
Font:
change to Times New Roman
text size to 75-80 (or 70 for longer call numbers)
change to BOLD.
Go to the line spacing options dropdown:
choose 1.0
select Remove space after paragraph
In in page, type in the correct header according to location, look Location headers
Insert a line (change font size to 40 or so) between header & call number, then change back to 75/80 (or 70) for the call number itself.
Paste in the call number itself:
a. Tinker with the call number and font size until all parts of the number are on their correct line, making sure the call number fits only on one standard sized page, so it will fit on the label when printed
b. Make sure page is set to Profile view.
Change to PDF for printing:
Save (as a Word document), then Save as Adobe PDF.
Open the PDF, click on print icon – and make sure * fit to page is selected before printing; when asked, choose one of the small zebra printers (such as CatZD420 Label Printer); and print.
Sample of a single label for the general MERRILL CAZIER circulating collection:
If printing more than one label, you can make a multipage Word to PDF set of labels
such as this one for two labels
just make sure each label fits on a single Word page before converting to PDF.
