Wageningen Academic Publishers Cataloging

Cheryl’s note: w have always cataloged Wageningen e-books individually from OCLC Connexion &/or MarcEdit, rather than batch loading vendor records; and it has been very challenging to figure out what titles are included. The initial order title list may be incomplete or misleading, with many items that haven’t been published yet, and very often the published e-book has a different title. Given all this, we have come up with a fairly quick method that can get several records done and loaded at a time.

Note (Nov.2023): recently bought by Brill.com, so some workflow steps are in flux. This is pretty common in batch ebook processing, something is always changing.

Further note: Hopefully the URLs are not going to change, since Wagenginen used DOI’s for their http links, but best check on brill.com to make sure. If they do change, we will need to change all earlier records of WAP eBook purchases in Sierra.

I. Wageningen eBook Packages:

  1. Acquisitions will forward the Wageningen Academic Publisher (or WAP) ebook package title list, with many of the titles being unpublished: preliminary will be noted instead of ISBN; and titles are often subject to change. Paste the newest inventory title list above, and download an unfinished title list from the publisher to work on. I like to highlight titles when I’m finished cataloging & loading them. It may be useful to load the title lists to Box with the other trackers.

  2. Wageningen publisher site is no longer being updated; they are in the processes of switching to Brill.com

    • Wageningen has recently been acquired by Brill – working on updating this workflow as the website changes are added.

g. Find latest Wageningen list, click on Title List; download (might be useful to investigate the MARC records they are now offering, Wageningen did not)

h. I’ve started using the title list to check against acquisitions invoice for title changes, publisher year, etc. - some of the titles open source, and we do have access, so I've been cataloging them (as was Cheryl Adams, our predecessor)

  1. Click on the http link to open the eBook to reference during cataloging

II. Review and Select a Record

  1. Search Sierra by title to locate any existing records or brief records.

    1. If record is found in Sierra, and it is for the correct Wageningen eBook edition, then it has already been cataloged. Mark it as cataloged.

    2. If no record is found, run various keyword searches to ensure a thorough search, but then go to OCLC.

  2. Search OCLC for the appropriate record.  Key searches could include:

    1. ISBN (cut and paste from Wageningen site, removing hyphens)

    2. Title or Title keywords of document

    3. Author of document

    4. Title and author (or add publisher: Wageningen) combined searches,

    5. If too many results consider, limiting to online resources only

  1. Check that the following fields are correct and/or match the item online:

Fixed Fields in OCLC:

  • Fixed Fields: check mandatory codes:

    • (LDR/Leader)

      • 06 - Type: a = Language (textual) material

      • 07 - BLvl: m = monographic item

    • (008/23) - Form: o = Online

  1. 006 - Additional Material Characteristics

    • To add missing 006 in OCLC, use Guided entry:

      • Edit; Guided Entry; insert 006; Computer files

  2. 007 field:

    1. minimum required codes are these two:

      • 007 c ǂb r

        • 00 - Category of material: c = electronic resource

        • 01 - Specific Material Designation: r = remote

        • May also contain several other subfield values, which we can ignore unless they contain errors, in which case; either replace them the correct ones, or blank them out to just the two required subfields above.

        • If missing, add in OCLC, go to: Tools; Macros; Manage; click OCLC + Add&Edit007; Run;

            • fill in Specific material designation: r

          • don’t bother adding the other specifics (they can vary over time & between vendors and vendor buyouts)

Variable fields (a selection of MATCHPOINT fields, or generally useful descriptive fields):

  1. 020 field: correct ISBN for eBook with (electronic book) or similar designation at the end or in ǂq subfield

    • Print ISBN goes in ǂz subfield

  2. 245 field: MATCHPOINT for most of eBook title page

  3. 260/264 field: MATCHPOINT on publisher & year (sometimes or place)

    • The Netherlands : ǂb Wageningen Academic Publishers, ǂc 2023.

  4. 300 is a MATCHPOINT:

    • 300 1 online resource (# pages) : ǂb illustrations. ← check Wagengingen site for page numbers (no $c subfield)

  5. Add 33x fields if missing:

    • 336 text ǂb txt ǂ2 rdacontent ← all eBooks

    • 337 computer ǂb c ǂ2 rdamedia ← all e-resources

    • 338 online resource ǂb cr ǂ2 rdacarrier ← all online e-resources

  • Good to have, if possible:

    • Add or check for 505 or 520 ← But, only if easy to copy/paste from WAP website

    • At least one subject: 600, 650, 651, 655

      • 650 0 Potatoes ǂx Breeding. ← easily found on Classification Web

  • Also note: Although USU don’t require call numbers (050/08x/09x) in ebooks, they can be useful; don’t delete existing call numbers.

  3. Add a 909 field to sign your work/support statistics in ǂa, the date in ǂb, and “Copy” in ǂc. Include actions taken and notes in ǂe and ǂz, if desired.

  4. Validate

    1. Edit; Validate OR Shift+F5

  5. Save or F4 each record to the Wageningen Local Save file

  6. Update Holdings

    1. Action; Holdings; Update holdings OR Shift+F8 (if not already done)

  7. When finished with all the titles you can find, mark all records in save file; and Export, naming the file something like: WAP-2023-[month]

    • Action; Export OR F5

III-Import and Edit in Sierra

Bibliographic Record Load Table

Once edits are made, import into Sierra using the:

    BATCH LOAD WorldCat Collection Sets (.collectionsets)

  • this loader will not look for matches or for duplicate control numbers

    • no overlay or rejection of records; all will be loaded

      • Get PC; find file; lfts

      • Click in Use Review Files box before loading

      • Test (and if all is well)

      • Load

IV-Check records in Create Lists

  1. Go to Create Lists; COPY; find file; open LOAD file

  2. Check bibliographic record’s fixed fields Material Type is z for Ebook

  3. Check item has these correct codes:

VI-Statistics

  • Record downloaded/edited records in CAP statistics base under: Genstacks-CopyCat-Electronic

  • Mark the titles cataloged in current title list and reload current file at top of workflow

  1. Clean up OCLC by marking & deleting all records in your OCLC WAP save file (if you are using it; also switch back to regular save file)

    1. If not using separate OCLC save file, just delete all loaded WAP files
