A very brief training guide to creating holdings records in Sierra

1-Summary:

  • Copy the call number from an Item Record

  • If you don’t already have them; make note of the actual holdings

  • choose c = Holdings in View dropdown; then click Attach New Holdings

2-Choose SerialHold (most complete template)

  • click on it, and Select:

3-Fill out or Click through the menu views:

4-When the Create Card view comes up, click Cancel

5-then Click on New Record:

  • If already filled out, check everything, then Save

  • or, start filling everything in:

Sierra Specific Fixed Fields (at the top of the Holdings Record):

  • Location:

    • gjrnl = BARN journals

    • gbks = BARN books (annuals, etc.)

    • iabb = SCA (formerly ABR) Beat Magazines

    • agov = Government Documents (Gov.Info.)

    • etc.

MARC Leader:

Already filled out in the SerialHold form:

  • MARC Leader #####ny 22#####3n 4500 ← hover over field; right-click; Expand Field:

    • RECORD TYPE: y = Serial holdings OR v = multi-volume monograph holdings

    • ENC LEVEL: 3 = Encoding Level (top level of enumeration/date only)

007 field is also prefilled in the template (look up other codes as needed):

  • ta = text & print - all print publications (change if different)

008 fixed field:

  • 008 121120 5 u 8 0 001 u a eng 0 ←hover; right-click; choose Expand Field

    • R/A Stat:

      • 4 = currently received

      • 5 = not currently received (many non-subscription titles, title changed, donations, etc.)

      • 2 = publisher stopped publishing it

    • Language (of captions): eng = English language captions (unless they’re not)

035 OCLC number (from bib record)

  • Copy over the complete 035 field text including the prefix (OCoLC)

    • 035 (OCoLC)1000061

852 field, which in Sierra is mainly call number:

  • 852 31 |hC 21.5: ←SuDoc and most SCA local call numbers fit into |h

  • 852 01 |hOK1|i.B345 For call numbers with |a and |b subfields in the bib, use |h and |i

853/863 fields (finally, the actual Holdings Fields):

  • 853 03 |81av. Volume prefix

  • 863 30 |81.1 |a883-930 volume numbers

7-Save the Record!

  • Example of new record:

8-almost final step (check public display)

  • View; Public Display

  • If holdings don’t display properly, go back and look for errors/typos/etc.

9-Record statistics

  • Created Holdings Record
