Somewhat drafty workflow

Library-wide Art Book Room Workflow
I. SCA: The Fine Arts Librarian will determine what material is passed on for ABR location cataloging, including making determinations on duplicates. Notes will be added to item indicating:
a. Desired location
b. Collection information
c. Donor information
d. Notes about special content
e. Background info for obscure material
II. SCA/CMS: Art Book Room material will usually be pre-processed by an SCA or Art Book Room student, including:
a. Adding Mylar Covers
b. Pamphlet-binding
c. But items can sometimes bypass the Fine Arts Librarian:
If an item looks like it should be in the Art Book Room and/or needs preservation decisions, contact the Fine Arts Librarian for a decision, preferably with a photo of the item.
d. Material needing preservation will require cataloging before going to down to SCA preservation:
For ABR books, catalogers should use an envelope or paperclip to hold labels and barcodes until the item has been through its preservation process down in SCA.
III. Acq./CMS: Art Book Room material will be brought up to cataloging and assigned to the following catalogers:
a. Beat Serials – Melanie
b. Other ABR Serials - Melanie
c. Beat Monographs – Barbara
d. Music – Melanie
e. Rare, Special, Fragile material (not falling in categories a-d) – Barbara
f. Firm or Approval ABR Monograph material – Andrea
IV. CMS: Catalogers will catalog ABR material according to notes from the Fine Arts Librarian.
V. CMS: Following cataloging, the material will be sent to one of two destinations, depending on collection:
ABR Beat Material
Will NOT be RFID tagged
Will be put on a purple cart marked "Art Book Room."
All other ABR Material
Will be taken to SCA to the reshelf area and put on the Art Book Room shelf, to be checked for items needing boxing, enclosing, or other preservation,
OR:
Will be sent to Circulation, for tagging. Place all material on the Art Book Room shelf in Circulation
Shelving in the Art Book Room will be done by Circulation students or SCA students, depending on the decision of the Fine Arts Librarian.
ABR & Beat Serials that are received regularly will be gradually moved to being sent directly to Serials, who will check them in, monitor missing issues, edit holdings; and then sent directly to the Serials Cataloger desk/cart. Once done, the serials cataloger will take them down to SCA for shelving
VI. CMS: All Art Book Room material will need to be checked into and out of CMS on the Item Tracking Base when items are received and before being taken to Circulation or to SCA.
CMS Art Book Room Receiving Workflow
Art Book Room material:
Give ABR curator/ABR folk some “Non-Rush Tracking from CMRS” slips.
Create a spot for ABR material drop-off.
◦ We will need to document procedures in Confluence.Student checks in ABR stuff and adds to tracker.
◦ Final destination=Art Book Room
4. Student returns ABR stuff to cataloging shelving or cataloger cubicle.
5. ABR cataloger catalogs remotely or in person.
6. Student or cataloger takes ABR material to the SCA reshelf area on the Art Book Room shelf or Circulation on the Art Book Room new materials shelf.
ABR/Beat Serials:
These will gradually be shifted to this new workflow.
Regularly received beat mags will go straight to Serials
Serials will route them to the Serials Cataloger.
Cataloger will track, make items, labels, etc., and when finished, will take down to ABR shelf/cart.

Art Book Room:
Many areas in the Art Book areas are not covered by Sierra location codes. Currently, we use a combination of location codes and labels to help make them easier to locate & shelve. (See current document of Label Templates for Sierra, for the most current set of ABR locations/labels.)

LC Call Numbers:
There are three main LC problems in our art collection materials: mixed cutter tables from current & older versions of LCC cutter tables, the N6 table cutter (A4) for individual artist collections, and a similar TR single photographer call number problem.
Art Cutter Table (local practice):
Historically at USU, two different versions of LCC cutter tables have been used for art books. Search the online catalog by call number to see if you need to modify the cutter number to fit the book alphabetically on the shelf; use the Art Cutter Table as needed. Generally we don’t have time to pull all problem cutters in the stacks, so use your judgment. In the bib record, use 090 for any modified LC number, removing any other 090s already in the record in favor of ours, but leave all 050 call number fields in the record.

A4 cutter problem (table N6 for single artist collections and exhibition catalogs)
LCC Table N6 (N6 is a placeholder for the classification number stem) uses the 2nd cutter A4 for collections/exhibition catalogs for a single artist, resulting in conflicting call numbers in collections with large numbers of catalogs; in most cases, we change the 2nd cutter of A4 to a cutter for the gallery or museum (in the case of exhibition catalogs), or cutter for artist/author/editor main entry. Use an 090 call number for any modified call number, but leave any DLC-assigned 050s in the record.

Photography single artist catalog problem:
Photography catalogs of a single photographer’s works are in either TR647 for exhibitions, or range TR650-TR655 (depending on the date of imprint) for other photography collections, and only have a single cutter.
Our local practice:
TR647: Add a second cutter for the gallery, museum, etc. where the exhibition was held.
TR650-TR655: For catalogs of a single photographer only, assign the 1st cutter for the photographer and a 2nd cutter for the author, if applicable, or by the title.
TR650-TR655: However, for catalogs of multiple photographers, continue LC practice of assigning one cutter for the main entry.
Remember to use 090 for our locally assigned call numbers, and leave in 050’s.
Photography Exhibitions:
TR647.A-Z Works of individual photographers. By name of photographer, A-Z Under each photographer, arrange by date of exhibition
Photography Collections:
TR650 General works
By period
TR651 1800-1850
TR652 1851-1900
TR653 1901-1950
TR654 1951-2000
TR655 2001-
Art “Catalogues raisonnés” (pretty rare)
Catalogues raisonnés defined in LCSH as “comprehensive listings of an artist's or craftperson's works in one medium or all media, usually chronologically or systematically arranged, and accompanied by descriptive or critical notes” should be cataloged for the Art Book Room.
These works will have a 600 10 Artist name $v Catalogues raisonnés in the record.

Art Book Room (non-Beat items)
In general: if the ABR item has been locally pamphlet-bound, covered with Mylar jacket, boxed, or sleeved, then only the locally-made covers, jackets, boxes, etc. should be labeled, barcoded, and stamped, not the piece itself. If no covering has been added locally, you can attach labels, barcodes, stamps, etc. to the item itself--however, use careful judgment: if the item looks very rare, unique, or in some other way needing special care, ask the ABR curator before labeling, if possible send a photo of them item; accidents do happen, and we are the last place to catch any such items. Also, many artist’s books will require some kind of protective covering or box.
Beat Magazines
In General: place Beat Issues in Mylar envelopes. Attach all barcodes and labels to Mylar envelopes or the paper flags, never attach barcodes & call number labels to item: We also do not currently attach RFID tags to Beat Material flags.
For Beat Magazines with several issues per volume (if they are in good shape): group a volume’s issues in 1 Mylar envelope, but stick a barcoded & labeled paper flag into each issue in the envelope.
