Useful info:

Might as well also download the Taylor&Francis while you’re there

  • Cambridge and T&F create files daily, it’s best to keep up weekly so they’re not loads, so it doesn’t get overwhelming

  • It’s a good idea to delete earlier Cambridge and T&F files from whatever folder you use for downloading

  • Start with just shepherding one file at a time thru the process

  • But, Then once you have good idea of this the process, start merging the , daily files into one (or 2) big weekly file (as shown below) for faster processing

Once logged in to the ftp site, open eba:

  • Select the most recent (i.eusu. a week’s worth) of Cambridge files

  • Click download and look at note where the program is sending saving them

MarcEdit for Joining files

Use MarcEdit to join individual files

  1. Tools,-->Marc Processing Tools-->MARCJoin:

    • Save file: navigate to your chosen folder for the future joined file; [give it an descriptive name]; Save

      • name example: CAMBRIDGE_BOOKS_ONLINE_EBCOLL_6000746_10202023-11082023

    • File(s) to join: navigate to folder containing your files: select all of them; Save

  2. Click Process

Cambridge EBA edits

Unicode - Check MarcEditMarcEdit seems to have no problem converting to MARC8

Use MarcEdit to join individual files if desired: (Tools, Marc Processing Tools, MARCJoin).

Open in MarcEdit MarcBreaker:

  • Open: navigate to joined file (.mrc)

  • Save As: I give it the same name (will be in .mrk) and place

  • I don’t mess with the other Encoding options, it doesn’t seem to have issues w/Unicode

  • Go for it and Execute

  • Note the number of records and record them and the joined file name in the tracker

  • Click on Edit Records

Replace; add prepend cambridge to 001

  • Edit; -->Replace

    • Find: =001 ← 2 blank

    spaces for the indicators
    • spaces (or highlight =001 and 2 spaces in first record and copy/paste)

    • Replace: =001 cambridge

    • Replace all

  • Quality Check: number modifications should match number of records in file

    • Also look at first record or 2 to check the edited 001 fields are still lined with the rest of the fields

Function-->Data Exchange-->Get PC-->navigate to “done” file

  • Prep (should have same number of records)

  • Select lmarc -->Load

loader:  BATCH LOAD Worldcat Collection Sets (.collectionsets) - *

  • Use Review Files

  • Test first (check number of records loaded is correct)

  • then Load

After loading, go to Create Lists Load

  • Create Lists

  • Copy

  • locate & select Load review file (no way of sorting review files, alas)

  • Remove Do you want to remove file: Yes

Check Double-click and check a record or two:

  • 001 cambridge

  • bib 910 Cambridge University Press EBA with GOBI

  • item internal note: Cambridge University Press EBA with GOBI

  • item code 1 (repurposed from completed Wiley EBA): 50

  • Can also View; Public Display to see OPAC, then test the URL

After loading, do title search in Encore, confirm bib record number (bottom of record in Encore - Bookmark This Record, Persistent Link) and check link

Note – batch loads may take a while to get uploaded into Encore

Clean up files in Data Exchange and the Create Lists review file of inserted records -

  • HIghlight review file name
