  1. Open the Discoverability_CDM_2022Research Airtable base → Search Terms tab

  2. For each term listed, assign the following codes:

    1. Category (if more than one term is present, add codes in the same order as the terms)

      1. Address: use for street addresses. For other locations, see Geographic Location

      2. Building: name of a structure, typically coming from the Compton collection

      3. Date: days, months, or years presented in any format. For years presented as ranges, select “Year Range” in the Notable Features field.

      4. Filename: for search terms ending in a file type (jpg, pdf, etc.)

      5. First Name: individual, personal names (Note, when used in an LCNAF format, indicate such in the Notable Features)

      6. Format: terms specific to the format of an object (photo, map, etc.) Do not include subject headings with subdivisions including format. Code these as “Subject” and record in the Notable Features that it is an LSCH Heading.

      7. Geographic Feature: any discrete, named, formation such as mountains, ranges, lakes, etc.

      8. Geographic Location: any discrete place directly identified by name or coordinates, that is not a Geographic Feature. Do not include subject headings with geographic locations. Code these as “Subject” and record in the Notable Features that it is an LSCH Heading.

      9. Institution: name of a corporate body such as a university

      10. Last Name: surname or family names (Note, when used in an LCNAF format, indicate such in the Notable Features)

      11. Middle Name: individual, personal, secondary name - usually presented between a first and last name (Note, when used in an LCNAF format, indicate such in the Notable Features)

      12. Subject: formal subject heading or simple keyword topical searches. For formal subject headings, record in the Notable Features that it is an LSCH Heading.

      13. Title: name of a published work or name that reasonably matches the title assigned to a digital object

      14. Year Range: include if the dates provided are set in a range of years YYYY-YYYY

    2. Notable Features

      1. Asterisk: include if an asterisk was used in the search term

      2. External link: include if the item is likely linked externally (such as Diaries collection items where the collection no longer exists and cannot be searched)

      3. Geographic heading: include if the Geographic Location code applied in the Category field matches the MWDL recommended style of formatting geographic location headings.

      4. Known Item: include if the search terms match the title for an object or are presented in a way that suggests the searcher was looking for a specific digital object

        1. If the search term matches the title exactly, check the “Object Name or Description” column

      5. LCNAF: Heading: include if the personal names included in the search term are formulated in the manner used for LCNAF headings

      6. LCSH: Heading: include if the personal names included in the search term are formulated in the manner used for LCSH headings

      7. Record page link: include if it is likely the user clicked on a link from a record page rather than entered the term by hand. This can be determined by looking at the records associated with the search terms to determine if the exact search string was present in the record in a controlled field or not (note that items marked for Filenames and some years are likely candidates)

      8. Specialty facet heading: include if it is likely the user clicked on a link from a search results page rather than entered the term by hand. This can be determined by looking at the search results pages associated with the search terms to determine if the exact search string was present in the facets or not (note that items marked for LCNAF, LCSH, Geographic headings, Buildings, and some years are likely candidates)

      9. Year Range: include if the dates provided are set in a range of years YYYY-YYYY
